On Saturday 15 May 2027 Park Groot Scholtenhagen is transformed into a vibrant festival ground for young and old. With an expected thousands of visitors, this is the chance to bring your products, services, treats, craft or association to attention!

The market stalls are supplied and rented out by an external stall rental company. Stichting Rijden voor Geluk WensAmbulance Haaksbergen provides the booking via its event website. The price of the stall rental is set by the stall rental company. The full proceeds intended for the stall rental go to the stall rental company. Stichting Rijden voor Geluk WensAmbulance Haaksbergen receives no commission, mark-up or profit margin on this.

Visitors can enjoy a large fair, funfair, music, entertainment, various food and drink options and the spectacular International Trike-Sidecar Motor-Run 2027 this day, which rides laps through the centre from 13.00 to 16.00. A free passenger train also runs several times a day between Haaksbergen station and the fair.

Market regulations

House rules May fair Haaksbergen 2027

1. Registration and participation

  • 1.1 Registration for participation in the May fair is possible until 30 April 2027 inclusive, or as long as sales spots are available. Full = full.
  • 1.2 The registration and the participation proof are intended to keep unannounced traders out. Only participants with a valid registration and a confirmation from the organisation get access to the market grounds.
  • 1.3 After registration the participant receives a confirmation email. Every registration is checked by the organisation.
  • 1.4 After approval the participant receives the definitive access proofs and QR code by email.
  • 1.5 By registering and paying the stall fee, the participant declares to have taken note of these house rules and to agree with them.

2. Setup, market and breakdown

  • 2.1 The location at Scholtenhagenweg 40B, 7481 VP Haaksbergen, is open to participants on Saturday 15 May 2027 from 07.30.
  • 2.2 On arrival the participant must have the received QR code scanned by a steward.
  • 2.3 After the check the participant is directed to the assigned sales spot.
  • 2.4 The sales spot must be fully set up by 09.45 at the latest.
  • 2.5 The fair takes place from 10.00 to 17.00.
  • 2.6 It is not permitted to leave or break down the sales spot before the end of the fair.
  • 2.7 Participants must at all times follow the instructions of the organisation and the stewards.

3. Sales spots and use

  • 3.1 Participants are themselves responsible for the setup and breakdown of their sales spot.
  • 3.2 The sales spots consist of original market stalls rented out by the organisation.
  • 3.3 It is not permitted to use additional sales space without prior permission from the organisation.
  • 3.4 Passages, aisles and emergency routes must remain clear at all times.
  • 3.5 The organisation reserves the right to change or relocate sales spots if the situation requires it.
  • 3.6 The location provider handles the sale of snacks, food and drinks. Other participants are not permitted to sell these products.

4. Safety, road closures and traffic

  • 4.1 The provisions in this chapter have been drawn up for the general safety on and around the fair grounds.
  • 4.2 On Saturday 15 May 2027 the entire fair grounds must be set up by 09.45 at the latest. From that moment the established road closures and traffic measures apply.
  • 4.3 During setup, the fair and breakdown, roads and passages may be fully or partially closed. The organisation arranges these road closures and traffic measures in consultation with the competent authorities.
  • 4.4 Participants must strictly adhere to all established road closures, diversions and traffic measures. The instructions of the organisation, stewards and emergency services must also be followed.
  • 4.5 It is not permitted to move, ignore or remove road closures, fences or other traffic facilities.
  • 4.6 Vehicles may only drive onto or off the fair grounds at the times designated by the organisation and via the designated routes.
  • 4.7 Vehicles that are not registered as part of the fair, or that are parked or used in violation of these rules, may be removed at the owner's expense and risk.
  • 4.8 The fair starts at 10.00 and ends at 17.00. It is not permitted to leave or break down the sales spot before the end of the fair.
  • 4.9 In the event of emergencies or special practical circumstances, the organisation reserves the right to deviate from these rules and take additional measures.

5. Power supply

  • 5.1 Power supplies are available to a limited extent and can only be used after prior consultation with and approval by the organisation.
  • 5.2 Participants who use a power supply are themselves responsible for the safe and proper use of electrical equipment, extension cords and connections.
  • 5.3 The organisation is not liable for the full or partial failure of the power supply, nor for any damage or consequential damage resulting from it.

6. Weather conditions

  • 6.1 To ensure the safety of participants, visitors and staff, the organisation reserves the right to adjust the event if the weather conditions give reason to do so.
  • 6.2 In case of extreme weather conditions that pose a threat to health or safety, such as extreme heat, extreme cold, storm or thunderstorm, the organisation will put an emergency plan into effect.
  • 6.3 The emergency plan may lead to adjustment, shortening, temporary suspension or full cancellation of the event. This can take place both before the start and during the event.
  • 6.4 Weather conditions are not a reason for a refund of the stall fee.
  • 6.5 From wind force 4, placing or using party tents, parasols or comparable constructions on the assigned sales spot is not permitted.

7. Waste and cleaning

  • 7.1 The organisation, participants and visitors are guests on the grounds. Participants must take all brought materials, unsold goods and waste with them after the fair.
  • 7.2 Participants are themselves responsible for collecting, storing and removing all waste originating from their sales spot.
  • 7.3 The sales spot must be left clean and tidy after the fair.

8. Liability

  • 8.1 Participation in the fair is entirely at the participant's own risk.
  • 8.2 The organisation cannot be held liable for damage, loss, theft or injury, in whatever form, arising during or in connection with participation in the fair.
  • 8.3 Participants are themselves liable for damage they cause to third parties, visitors, other participants, materials or property of the organisation or the location provider.

9. Emergencies and prevention

  • 9.1 To ensure the safety of participants, visitors and staff, the organisation monitors compliance with the safety measures before and during the fair. This may involve cooperation with police, fire brigade and other competent authorities.
  • 9.2 Fire-fighting water extraction points, such as fire hydrants and wells, must remain clear at all times. These may not be blocked by stalls, vehicles, goods or other obstacles.
  • 9.3 There must always be a clear passage available for the fire brigade, ambulance and other vehicles of professional emergency services.
  • 9.4 Between sales spots located opposite each other, a minimum passage width of 3.5 metres must be maintained, so that emergency services have unobstructed access to the grounds at all times.
  • 9.5 Instructions and directions from the fire brigade, police, ambulance, first aiders, stewards and organisation must be followed immediately at all times.
  • 9.6 If safety is at stake, the organisation reserves the right to take immediate measures. This includes, among other things, relocating or clearing sales spots or parts of the grounds.

10. First aid and emergencies

  • 10.1 On the fair grounds first aiders are present to provide first aid in case of accidents.
  • 10.2 An AED is available in the canteen.
  • 10.3 In urgent or life-threatening situations, 112 must be called immediately.
  • 10.4 In case of incidents, always follow the instructions of aid workers and give them sufficient room to carry out their work safely and adequately.

11. Cancellation and refund

  • 11.1 After registration and payment of the stall fee, cancellation by the participant is not possible.
  • 11.2 A refund of the stall fee does not take place, regardless of the reason for cancellation.
  • 11.3 Weather conditions, including rain, wind, cold or heat, are not a reason for cancellation or refund.
  • 11.4 Personal circumstances of the participant, including illness, private circumstances or other personal reasons, do not give a right to a refund.
  • 11.5 Only when the organisation decides to cancel the event entirely can a partial or full refund take place. Costs already incurred may be deducted from the amount to be refunded.

12. Hardship clause

  • 12.1 In exceptional situations, such as the demonstrable death of a direct family member of the participant, the organisation may at its own discretion decide to offer an appropriate solution.
  • 12.2 The organisation is not obliged to offer an appropriate solution or refund.
  • 12.3 No rights for future editions can be derived from a decision based on this hardship clause.

13. Final provision

  • 13.1 In situations that these house rules do not provide for, the organisation decides.
  • 13.2 By participating in the May fair Haaksbergen 2027, the participant declares to fully agree with the provisions of these house rules.
